Founded in 1932, Wisconsin School Music Association (WSMA) is a 501(c)(3) non-profit, statewide association serving more than 3,500 music teachers and school administrators in the education of 100,000+ students who annually participate in the organization’s activities through their school’s membership. WSMA is a leader in providing programs and services that challenge youth to achieve excellence through music.
Roles Needed:
Door Monitors - 20 needed per shift (1 Monitor per room for ~20 rooms)
Each entrance to the performance site must have a door monitor. This person should manage the exits so that spectators and/or performers do not enter or leave during a performance. This person works in partnership with the room chairperson, including assisting in determining the performer and accompanist availability. Depending on the nature of the room, their post may be inside or outside the performance site.
Runners – 4 per shift needed (approx. 1 runner per every 5-8 rooms)
It is the runner's responsibility to pick up the envelopes containing completed adjudication forms from the adjudicators. At the time of pick up they will leave the adjudicator an empty envelope. The envelopes of completed forms are taken to the headquarters for processing. This should be done approximately every half hour. It must be emphasized that runners should not share evaluation forms with anyone. Envelopes containing forms are handed to headquarters staff for verification and processing.
Certifiers 3 per shift
These people check the accuracy of each completed form to verify that the rating matches the profile and the adjudicator has signed the form. If there is an inaccuracy, the festival manager or WSMA representative should be alerted in order that the problem can be resolved with the adjudicator.
Processors 2 per shift
After the adjudication forms have been certified, the processors enter the ratings into the computer. Either the certifiers or processors can be utilized in posting the results.
Information Center 2 per Shift
The monitors of the information center(s) should be provided with the complete schedule of the day's events and maps of the building(s). In addition, it is wise to provide these people with all of the relevant information that has been sent to schools and adjudicators. If available, a laptop computer can assist in quickly finding student performance times (using Find Student from Festival Day screen).
